USEFUL INFORMATION

LAND-ONLY TRIPS

As flight prices now vary so widely, all our trips are now sold on a “land-only” basis. This means a fairer price for all our clients – if you book early you get the widest choice of flights, usually at the cheapest fares. Those who book late may well find flights are more expensive with less choice of timings or routings.

INTERNATIONAL FLIGHTS

We no longer book international flights for clients. We do book necessary internal flights. recommend you book your own flights. We can recommend using Deurali Travel UK, who book flights for Community Action Nepal staff and trustees deuralitravel.co.uk. Please let us know your flight details, when arranged.

EXTENSIONS

Extension options are available for most of our trips. To avoid disappointment or further expense, it is always best to discuss your extension requirements with us prior to arranging any flights. Please indicate on the booking form if you are considering an extension.

SINGLE SUPPLEMENTS

If you are travelling alone we will allocate rooms and tents on a shared basis with someone of the same gender. If you would prefer to pay for a single room or a single tent, please indicate this on the booking form (subject to availability – not always possible on some treks).

PAYMENT SCHEDULE

To secure a booking a £350 deposit must accompany a signed booking form.
We accept payments by bank transfer or by cheque (made payable to Community Action Treks Ltd.).

International flights sourced by us require payment in full at the time we secure the flights for you . This will happen as soon as your chosen trip has sufficient participants to guarantee the departure.

The trek balance is due 8 weeks prior to departure. We ask you to make a note of the balance due date that is on your invoice, as, to keep costs to a minimum, reminder invoices are not sent out.

LAST MINUTE BOOKINGS

Any bookings made less than 8 weeks prior to departure require full payment with the booking form.

ON RECEIPT OF YOUR BOOKING

We will send you a confirmation email and an invoice which will outline your payment schedule. We will also send you a country-specific document called “Preparing for your trek”, which will tell you in detail the things you need to do prior to your trek. It also includes the essential information, including visa advice, monetary matters, equipment lists, medical and insurance forms etc. We strongly advise all clients to ensure that they have adequate insurance cover as soon as they have made a booking with us – see Preparing for your Trek for detailed insurance requirements.

ON RECEIPT OF YOUR BALANCE PAYMENT

We will send you your joining instructions, hotel details and flight itineraries (if you requested us to book your flights).

VISAS

Many of our trips require visas, and it is your responsibility to get these, except for Bhutan and Tibet which we will obtain for you.

PASSPORTS

Most countries require you to have at least 6 months validity on your passport when you enter the country. Please check to see if you need to renew your passport.

CONDITIONS AND ITINERARIES

We reserve the right to amend our booking conditions and itineraries. Please check with the office that you have the latest version of these.
